Configuring Interface Mappings

Interfaces typically require a way to define how an application matches or aligns its data to data in another application. You do this by creating a mapping table that takes data from one application and translates it into data that the other application recognizes. The Staff Manager interface mapping feature gives you the ability to match or map certain Staff Manager data options to their third-party solutions. The two interface mapping options are Cost Center Mapping and Job Code Mapping.

Cost Center Mapping Overview

Cost Center Mapping allows organizations with Human Resource or Time and Attendance Import interfaces to map Staff Manager profiles to the cost centers (departments) for integration to third-party applications. It also gives you a way to add, update, and verify cost center mappings.

Open the Cost Center Mapping page by from the Configure menu by selecting Interface Mappings > Cost Center Mapping. The page has three sections:

Note: You can only map one cost center to one profile, but you can map a single profile to multiple cost centers.

Job Code Mapping Overview

If your organization has a Human Resource or a Time and Attendance Import interface, Job Code Mapping lets you map Staff Manager profile skills to the job codes of third party applications. You can also add, update, and verify job code mappings.

The Job Code Mapping page has three sections:

Configuring Cost Center Mappings

Note: You can only map one cost center to one profile, but you can map a single profile to multiple cost centers.

Adding a Cost Center

You normally enter cost centers through the Staff Manager Administrator Edit Profile dialog Cost Center Number option; however, this dialog only allows for one cost center per profile. You can add additional cost centers on the Cost Center Mapping page.

  1. From the Configure menu, select Interface Mappings > Cost Center Mapping. The Cost Center Mapping page opens.
  2. Select a profile from the Profiles list.
  3. Under the Cost Centers (Current Mapping) box, click Add Cost Center. This opens the Add Cost Center window.
  4. Enter the cost center number in the box. Cost center numbers must be unique. If the number is already in the application, you will receive a warning message: The Cost Center Number '[number]' already exists in the list.
  5. Click Add. This closes the window and adds the new cost center number to the Cost Centers (Current Mapping) pane.
  6. Click Save. An alert displays the message Are you sure you wish to save these changes?
  7. Click OK.

Adding a Cost Center Mapping

  1. From the Configure menu, select Interface Mappings > Cost Center Mapping. The Cost Center Mapping page opens.
  2. Select a profile from the Profiles list. The page refreshes to display available cost centers for the selected profile. Available cost centers are in dark blue. Cost centers already mapped to other profiles are in gray, with the profiles shown in parentheses beside them, such as 12345 (6N MedSurg).
  3. Select a cost center from the Cost Centers (Current Mapping) box to select it.
  4. Add the selected cost center as a primary or secondary cost center.
    1. To make the selected cost center the primary cost center, click Add beside the Primary Cost Center box in the Mapped Cost Centers section. If a Cost Center Number already exists in the Staff Manager Administrator Edit Profile dialog box, you must remove it before you can add a new Primary Cost Center.
    2. To make the selected cost center the secondary cost center, click Add beside the Secondary Cost Centers box in the Mapped Cost Centers section.
  5. Click Add. This closes the window and adds the new cost center number to the Cost Centers (Current Mapping) box.
  6. Click Save. An alert displays the message Are you sure you wish to save these changes?
  7. Click OK.

Removing a Cost Center Mapping

  1. From the Configure menu, select Interface Mappings > Cost Center Mapping. The Cost Center Mapping page opens.
  2. Select a profile from the Profiles list. The page refreshes to display the mapped cost centers for the selected profile.
  3. Click the cost center in the Mapped Cost Centers section to select it.
  4. Click the Remove button closest to the cost center.
    1. To remove the primary cost center, click Remove beside the Primary Cost Center box. This also removes the entry in the Cost Center Number option of the Staff Manager Administrator Edit Profile dialog box.
    2. To remove a secondary cost center, click Remove beside the Secondary Cost Centers box.
  5. Click Save. An alert displays the message Are you sure you wish to save these changes?
  6. Click OK.

Editing a Cost Center Mapping

If you need to change a profile cost center mapping, you must first delete the current mapping and then create the new one.

  1. From the Configure menu, select Interface Mappings > Cost Center Mapping. The Cost Center Mapping page opens.
  2. Select the current profile in the Profiles list. This populates the other sections of the page with the data for that profile.
  3. Remove the cost center in the Mapped Cost Center section.
  4. Map the new profile to the cost center.
  5. Click Save. An alert displays the message Are you sure you wish to save these changes?
  6. Click OK.

Configuring Job Code Mappings

Adding a Job Code Mapping

  1. From the Configure menu, select Interface Mappings > Job Code Mapping. The Job Code Mapping page opens.
  2. Select a job code in the Job Codes (Facility) list. If a job code is defined for more than one facility, the list includes the code multiple times with each facility displayed beside the code in parentheses. For example, if job code 00032 RN is defined to two facilities, the list displays it twice: 00032 RN (HMC) and 00032 RN (HMC-East).
  3. Select an Available Skill. Skills are grouped by unique skill names for all profiles within a facility, with the profiles that have that defined skill beneath them. To map a job code to all the profiles under a skill, select the check box beside the skill name. To map a job code to one or more profiles, select the check boxes beside the desired profiles.
  4. Click Add. This moves the selected profiles and skills from the Available Skills pane to the Mapped Skills pane.
  5. Click Save. An alert displays the message Are you sure you wish to save these changes?
  6. Click OK.

Removing a Job Code Mapping

  1. From the Configure menu, select Interface Mappings > Job Code Mapping. The Job Code Mapping page opens.
  2. Select a job code in the Job Codes (Facility) list. If a job code is defined for more than one facility, the list will display the code multiple times with each facility beside the code in parentheses. The page refreshes to display the mapped skills for the selected job code.
  3. Select a skill in the Mapped Skills box.
  4. Click Remove.
  5. Click Save. An alert displays the message Are you sure you wish to save these changes?
  6. Click OK.
