Configuring Job Code Groups

Managers use Staff Manager Administrator to create job code categories and job codes. Job codes let managers more closely link employee information in Staff Manager to their Human Resource Information System (HRIS).

Once managers create the categories and codes, they can map those job codes to profiles in Staff Manager Administrator. Managers then go to Clairvia Web to configure job code groups.

Job code groups allow you to organize job codes into sets for use in custom reports and for reports generated from the optional Payroll Import. Each job code can belong to only one job code category (as configured in Staff Manager Administrator), but one job code can belong to several different job code groups.

For example, the hundreds of job codes used in an organization may be organized into the following job code categories: Management, Licensed, and Technical. In Staff Manager Administrator, the Nurse Manager job code is assigned to the Management category. At the job code group level, however, you might create a Management group and a Nursing group and assign the Nurse Manager job code to both in order to support your specific reporting needs.

The Job Codes panes (Available Jobs and Selected Jobs) sorts jobs first by Job Code and then by Facility.

Creating a New Job Code Group

Complete the following steps to create a new job code group:

  1. From the Configure menu, select Job Code Groups. The Job Groups page opens.
  2. Click Add.
  3. Enter a name for the new job group.
  4. In the Available Jobs pane, select the jobs in the new group. If all jobs should be in the new group, select All.
  5. Click Add. This moves the selected jobs from the Available Jobs pane to the Selected Jobs pane.
  6. Click Save. An alert box opens displaying the message Are you sure you wish to save these changes?
  7. Click OK. The new Job Group is displayed in the Job Code Groups pane.

Editing a Job Code Group

Complete the following steps to edit a job code group:

  1. From the Configure menu, select Job Code Groups. The Job Groups page opens.
  2. In the Job Code Groups pane, select the group.
  3. To add a job to the group, select it in the Available Jobs pane and click Add. This moves the selected job from the Available Jobs pane to the Selected Jobs pane.
  4. To remove a job from the group, select it in the Selected Jobs pane and click Remove. This moves the selected job from the Selected Jobs pane to the Available Jobs pane.
  5. Click Save. An alert box opens with the message Are you sure you wish to save these changes?
  6. Click OK.

Copying a Job Code Group

Complete the following steps to copy a job code group:

  1. From the Configure menu, select Job Code Groups. The Job Groups page opens.
  2. In the Job Code Groups pane, select the group.
  3. Click the Copy link. The Name box now displays the name of the original group followed by (Copy); the jobs from the original group are displayed in the Selected Jobs pane.
  4. Enter a new name for the group in the Name box.
  5. Make any changes to the jobs in this group.
    1. To add a job to the group, select it in the Available Jobs pane and click Add.
    2. To remove a job from the group, select it in the Selected Jobs pane and click Remove.
  6. Click Save. An alert box opens with the message Are you sure you wish to save these changes?
  7. Click OK.

Deleting a Job Code Group

Complete the following steps to delete a job code group:

  1. From the Configure menu, select Job Code Groups. The Job Groups page opens.
  2. In the Job Code Groups pane, select a group.
  3. Click the Delete link. An alert box opens with the message Are you sure you wish to delete this Job Group? The delete is performed immediately and cannot be undone.
  4. Click OK to delete the job group or Cancel to cancel the deletion.

Using the Cancel Button

Whether you are creating, editing, copying, or deleting a job code group, you can always click the Cancel button to cancel any changes you have made since your last Save action. Clicking Cancel opens an alert box with the message Are you sure you wish to discard these changes? Click OK to discard the changes.
