Creating a Transfer Event with the ADT Functions Window

You cannot add or edit a patient’s identification data (for example, Medical Record Number, Patient Last Name) when creating a transfer event. You can only enter the patient’s new location information and the transfer’s effective date and time.

You can only use the ADT Functions window to create transfers within a single facility. You cannot create a patient transfer from one facility to another. See Understanding Patient Transfers Across Facilities for more information.

  1. Locate the patient using the Patient Finder page or the Administer ADT Events page.
    1. To use the Patient Finder page, from the Demand menu, select Patient Finder. This opens the Patient Finder page.
      1. Select the number to search by: Encounter Number or Medical Record Number. You must enter the number exactly as the application displays it. When in doubt as to the exact number, you should run the Patient List report to confirm.
      2. Enter the number in the box.
      3. Click Add. This moves the number into the Selected Numbers box.
      4. Click Search. The page updates to show your search results.
      5. Click the ADT link at the end of the patient information row. This opens the ADT Functions window.
    2. To use the Administer ADT Events page, From the Tools menu, select Administer ADT Transactions. This opens the Administer ADT Transactions page.
      1. Select the number to search by: Encounter Number or Medical Record Number. You must enter the number exactly as the application displays it. When in doubt as to the exact number, you should run the Patient List report to confirm.
      2. Enter the desired number in the box.
      3. Click Add. This moves the number into the Selected Numbers box.
      4. Click Search. The page updates to show your search results.
      5. Click the ADT link at the end of the patient information row. This opens the ADT Functions window.
  2. Select Transfer To from the Event menu.
  3. Enter the Effective Date and time.
  4. Select a Facility.
  5. Select a Profile. The list contains all mapped profiles and the option Other. You should select Other when transferring the patient to an unmapped profile.
  6. Select a Location. The list contains all locations mapped to the selected profile. If you selected the Other profile option, the Location menu also provides the Other option.
  7. (Optional) Enter the patient’s assigned Room.
  8. (Optional) Enter the patient’s assigned Bed.
  9. Click Save Event.
  10. An alert box opens with the message Create transfer for [Patient Last Name], [Patient First Name]? Click OK.
  11. After Clairvia Web processes the event, it displays the new event in the event section of the Patient Information table. Click Close to return to the main page.

CAUTION: Organizations with CareAware iBus and Cerner Millennium environments must use care when creating manual ADT events. Patient information, including encounter numbers and locations, must match in Staff Manager and Millennium. ADT events created in Staff Manager are not sent to the iBus and do not update Millennium.
