Assigning Request Limits

The Assign Request Limits page allows you to select one or more employees and one or more tasks from the same or from multiple profiles and connect them to selected Request Limits. Note that you must configure your request limit definitions before you can assign request limits.

You can click Reset to undo any edits made since you last saved the configuration.

Complete the following steps to assign request limits.

  1. From the Configure menu, select Requests > Assign Request Limits. This opens the Assign Request Limits page.
  2. Select a request limit from the Request Limits pane on the right. This enables the Assignment pane on the left with the Assign Employees tab active.
  3. Select a profile from the Profile menu. The profiles in this menu are limited to the ones you have permission to access as defined by your Security Group and the Group Permissions.
  4. When making a new assignment, the Available Employees box first displays all the employees in your selected profile (sorted alphabeticly by last name) and then the float employees who can make requests to the selected profile (also sorted by last name). Float employees have their primary profile listed beside them, such as Miller, Greg (6N MedSurg). Select one or more employees from the Employee tree. If you want to include all employees, select All.
  5. Click Add >>. This moves the employees from the Available Employees pane to the Selected Employees pane. If you add an employee by mistake, select the employee in the Selected Employees pane and click << Remove. This returns the employee to the Available Employees pane.
  6. Click the Assign Tasks tab.
  7. If you want, you can select a different profile from the Profile menu. The profiles in this menu are also limited to the ones you have permission to access.
  8. The Available Tasks box displays the tasks in your selected profile. Select one or more tasks from the Tasks tree. If you want to include all tasks, select All.
  9. Click Add >>. This moves the tasks from the Available Tasks pane to the Selected Tasks pane. If you add a task by mistake, select the task in the Selected Tasks pane and click << Remove. This returns the task to the Available Tasks pane.
  10. Click Save. A window opens to display the following message: If Auto Approval is enabled in the Request Settings, adding, modifying, or deleting a request limit may trigger auto approval or a Pending or Wait listed request. Click OK to save or Cancel to close the window and return to editing the Request Limit.

You can expand or collapse all tree items in the Available and Selected boxes by clicking the Expand and Collapse icons.

Editing Assigned Request Limits

  1. From the Configure menu, select Requests > Assign Request Limits. This opens the Assign Request Limits page.
  2. Select the request limit from the Request Limits pane on the right. This enables the Assignment pane on the left with the Assign Employees tab active.
  3. If you want, you can select a profile from the Profiles menu.
  4. If you want to edit the assigned employees, continue with Step 5. Otherwise, go on to Step 6.
  5. If you want to add an employee to the limit, select the employee from the Available Employees tree and click Add >>. If you want to remove an employee from the limit, select the employee in the Selected Employees tree and click << Remove. This returns the employee to the Available Employees pane.
  6. Click the Assign Tasks tab.
  7. If you want, you can select a profile from the Profile menu.
  8. If you want to add a task to the limit, select the task from the Available Tasks tree and click Add >>. If you want to remove a task from the limit, select the task in the Selected Tasks tree and click << Remove. This returns the task to the Available Tasks pane.
  9. Click Save.
  10. A window opens to display the following message: If Auto Approval is enabled in the Request Settings, adding, modifying, or deleting a request limit may trigger auto approval or a Pending or Wait listed request. Click OK to save or Cancel to close the window and return to editing the Request Limit.

Understanding How Request Limits Display in the Request Limits Pane

How the Request Limits pane displays request limits depends on whether a limit is active or inactive, and whether a limit has been assigned to employees or tasks that you manage.

A request limit is considered active when all of the following conditions are met:

Request Limits displayed in gray are read-only. You can select, view, and copy a read-only Request Limit, but you cannot edit or delete it. Request Limits with no assignments can be edited or deleted by any administrator.

Required Security Permissions for Assigning Request Limits

Access to the Assign Request Limit pages is granted via the Access Schedule permission, set in Staff Manager Administrator. By default, users in the Enterprise Administrator security group have Full (that is, both read and write) access to the Assign Request Limit pages.

Users in any security group other than the Unassigned group may be granted managed access to selected profiles. Once a profile or profiles have been selected for managed access, that security group becomes available to assign permissions within the select profiles.

A Note About Saving Assigned Request Limits

When two or more users access the same Request Limit on the Assign Request Limits page, Staff Manager retains the changes from the last person to save. There is one exception for users deleting a Request Limit. Because the Request Limit Definitions and the Assign Request Limits pages share a Request Limits record, if one user deletes a Request Limit while another edits a Request Limit, the user editing the Request Limit is not allowed to save the changes. In these instances, the page displays the message Unable to save changes. Another user has deleted this limit.
